Office Manager
Effectively lead a team of office associates and cashiers to ensure seamless front-end operations and delegate tasks and responsibilities according to each team member's strengths and skills.
Establish clear communication channels with team members to foster collaboration and cooperation.
Oversee the store's Human Resources and ensure the incorporated processes are followed and abide by store policy and regulatory standards.
Provide constructive feedback and support to team members to help them improve their performance while encouraging a positive and productive work environment to boost team morale and motivation.
Manage customer complaints and those made among store associates, and maintain records of these instances.
Ensure that documents and records are kept up-to-date, easily accessible by leadership, and confidential.
Create and maintain a system for organizing and storing files and records.
Regularly update and review documents to ensure accuracy and completeness.
Ensure that sensitive and confidential information is properly secured.
Provide training and resources to team members to help them properly handle and manage documents and records.
Answer phone calls promptly and professionally, take messages, and direct calls to the appropriate colleagues.
Securely carry with you a set of store keys to open the building in the morning at the designated times and occasionally close the store at night.
Listen attentively to callers and ensure that their needs are met or directed to the appropriate person.

Take accurate messages and ensure that they are delivered in a timely manner.
Operate office equipment such as printers, photocopiers, computers, and software for word processing and spreadsheet creation.
Ensure that equipment is properly maintained and functioning. Troubleshoot and resolve any equipment issues as needed.
Maintain controls for cash handling procedures and update procedures and/or controls as necessary, with the assistance of the store's leadership.
Provide training and resources to team members to help them properly operate and maintain equipment.
Stay up-to-date with the latest software and technology to improve office efficiency and productivity.
Perform basic bookkeeping tasks including money verification, till reconciliation, and deposit preparation.
Verify cash, checks, and other payment methods received.
Reconcile tills and ensure that they balance with cash and payment records.
Prepare deposits and ensure that they are accurate and properly recorded.
Maintain accurate and up-to-date financial records and reports.
Conduct regular office compliance procedures on a monthly, quarterly, or as-needed basis to identify and address compliance issues.
Conduct money service transactions for store customers.
Provide training and resources to team members to ensure that they understand and comply with relevant regulations and policies.
Monitor inventory levels of office supplies, such as stationery items, and place orders for replenishment when necessary.
Be flexible and adaptable to take on new tasks and responsibilities as needed.
Communicate effectively with the Store Manager to ensure that tasks are completed according to expectations.
Ensure that all tasks are completed in a timely and efficient manner.
Provide feedback and suggestions to the Store Manager to improve office operations and performance.
Report all safety risks, or issues, and illegal activity, including robbery, theft, or fraud.

Qualifications:
Possess previous experience in an office environment, ideally in a retail setting and in a management role.
Demonstrate strong customer service skills and the ability to effectively manage customer interactions.
Exhibit exceptional organizational skills to manage multiple tasks and responsibilities effectively and simultaneously.
Communicate clearly and professionally with excellent interpersonal skills.
Thrive in a fast-paced environment and able to work efficiently and effectively under pressure.
Hold a High School Diploma or GED.
Have the ability to hear, speak, and understand English in order to respond promptly to pages for assistance, answer telephones, and communicate effectively with other store associates and customers. Bilingual capabilities are a plus.
Read, write, and interpret English proficiently to understand and follow company handbooks, policies, procedures, and other job-related documents posted on company notification boards.
Demonstrate the ability to follow up on tasks and ensure they are completed thoroughly and accurately.
Be available for off-hour calls and report to work as needed outside of regularly scheduled working hours.
Proficient in Microsoft Office and data management software to effectively complete job duties.
Have a good understanding of the functions and responsibilities of cashiers.
Knowledgable with computers, copiers, fax machines, among other pieces of office equipment.
Requirements:

Hold a High School Diploma or GED.

Bookkeeping Proficiency: ability to maintain accurate and up-to-date financial records, including accounts payable and receivable, invoicing, payroll, and budget tracking.
Staff Development: ability to recruit, train, develop, and motivate associates.
Reliability: maintain a strong work ethic to ensure smooth office operations, organization, and handling of vital store functions, including store opening and responsibility for the keys.
Cashier Familiarity: maintain the familiarity with the roles, procedures, functions, and controls for cashiers.
Ability to memorize and understand company policies, inventory control procedures, PLU codes, shipping and receiving procedures, check stand and keyboard operations, and product locations.
Ability to carry out higher than basic level mathematical operations (addition, subtraction, multiplication, and division), including margins and mark-ups.
Ability to work flexible hours that include early morning, day, and evening shifts in a 365 day, 24/7 setting, including weekends, nights, and holidays.
Ability to use Microsoft Office and and data management software to communicate and effectively complete job duties.
