H.F. Lenz Company in Johnstown, PA is seeking a Contracts Administrator to review and evaluate professional service proposals and contracts for building systems engineering and design projects. This role will work and train directly under a senior level Contracts Manager to evaluate contracts for potential legal exposure and other business risks, drafting alternative contractual language and negotiating proposed modifications with clients. The candidate will work in conjunction with professional engineering staff, business development and Principals in Charge in reviewing and preparing Request for Proposals (RFPs) and Requests for Qualifications (RFQs) for professional design projects. This role will also prepare subconsultant agreements for the firm's subconsultants on specific projects.

PRIMARY DUTIES include the following:

  • Review agreements, contracts, terms & conditions, and purchase orders received from the firm's clients for performance of professional design services.
  • Review and/or edit contracts and agreements for clauses and specific language that present liabilities, exposures, obligations and otherwise onerous clauses that are not appropriate for professional services, and that pose business risks for the company.
  • Consult with the firm's Principals in Charge, outside legal counsel in connection with identified contractual business risks. Draft alternative language to eliminate or minimize contractual risks and negotiate proposed modifications with clients.
  • Prepare subconsultant agreements for the firm's subconsultants that are required for specific projects.
  • Prepare responses to specific RFPs and RFQs, including project briefs, staff resumes, service narratives, and answering specific questions related to the firm's engineering and design capabilities.
  • Consult with Principals in Charge and Marketing & BD Manager to recommend and contact subconsultants required for specific project opportunities
  • Prepare marketing materials from subconsultants and integrate into the proposal or statement of qualifications.
  • Perform other administrative duties as assigned.

EDUCATION and/or EXPERIENCE REQUIREMENTS

  • Associates' Degree in Business Administration, Engineering, legal studies or related field or combination of education and experience in a related.
  • Experience in contract administration is preferred.
  • Experience working with American Institute of Architects (AIA) documents, is a plus.
  • Prior experience working for a consulting engineering or architectural engineering firm, is a plus.
  • Must have experience working with databases or Customer Relationship Management (CRM) software platforms.
  • Proficiency working in Microsoft Office suite applications is required.

Qualifications:

  • • Knowledge of legal requirements and language involved with various types of professional service agreements. ‎
  • • Experience with state and federal government contracting terms and procedures.‎
  • • Experience working with American Institute of Architects (AIA) documents, is a plus.‎
  • • Prior experience working for a consulting engineering or architectural engineering firm, is preferred. ‎
  • • Experience working with databases or Customer Relationship Management (CRM) software platforms.‎
