H.F. Lenz Company in Johnstown, PA is seeking a Contracts Administrator to review and evaluate professional service agreements and other types of contracts for building systems design projects.  This role will work directly with the firm's Principals in Charge and outside legal counsel to evaluate contracts for potential legal exposure and other business risks, drafting alternative contractual language and negotiating proposed modifications with clients.  The candidate will work in conjunction with marketing, business development and project management to ensure compliance with government regulations, statutes, and client specific procedures and requirements. 

This role is responsible for reviewing and preparing Request for Proposals (RFPs) and Requests for Qualifications (RFQs), in consultation with Principals in Charge and the Marketing & BD Manager to determine suitability to pursue professional design projects.  This role will also prepare subconsultant agreements for the firm's subconsultants on specific projects. 

Previous experience with similar work for an architectural or engineering firm is highly desired.  Experience preparing proposals and developing marketing materials for engineering projects, is a plus. 

PRIMARY DUTIES include the following:

  • Review agreements, contracts, terms & conditions, and purchase orders received from the firm's clients for performance of professional design services.
  • Advise and/or edit contracts and agreements for clauses and specific language that present liabilities, exposures, obligations and otherwise onerous clauses that are not appropriate for professional services, and that pose business risks for the company.
  • Consult with the firm's Principals in Charge, outside legal counsel in connection with identified contractual business risks.  Draft alternative language to eliminate or minimize contractual risks and negotiate proposed modifications with clients.
  • Review client's insurance requirements associated with potential and current projects.
  • Consult with the firm's insurance brokers to ensure compliance with insurance requirements, such as policies, limits of insurance, policy endorsements and other details or specific requirements.
  • Coordinate certificates of insurance from brokers in accordance with clients' instructions.
  • Prepare subconsultant agreements for the firm's subconsultants that are required for specific projects.
  • Prepare responses to specific RFPs and RFQs, including project briefs, staff resumes, service narratives, and answering specific questions related to the firm's engineering and design capabilities.
  • Consult with Principals in Charge and Marketing & BD Manager to recommend and contact subconsultants required for specific project opportunities
  • Direct marketing materials from subconsultants and integrate into the proposal or statement of qualifications.
  • Assist in creating presentation material for project interviews with clients for specific projects.

  • • A minimum of five (5) years of experience in contract administration is required or equivalent combination of ‎education and experience in a related field such as commercial construction, architecture or engineering. ‎
  • • Knowledge of legal requirements and language involved with various types of professional service agreements. ‎
  • • Experience with state and federal government contracting terms and procedures.‎
  • • Experience working with American Institute of Architects (AIA) documents, is a plus.‎
  • • Prior experience working for a consulting engineering or architectural engineering firm, is preferred. ‎
  • • Experience working with databases or Customer Relationship Management (CRM) software platforms.‎
  • • Proficiency working in Microsoft Office suite applications is required. ‎
